Money & expenses

Snap the receipt. Get back to work.

Open Grain AI chat, point your phone camera at a receipt, and tap send. The AI extracts the vendor, total, line items, and tax, then asks which job to attribute the cost to. The receipt becomes a real expense linked to a real job in the time it took you to walk to the truck.

The flow

Photo a receipt, store receipt, gas pump receipt, lumber-yard receipt, directly inside Grain AI chat. The image is uploaded, parsed, and turned into a structured expense record without any typing on your part.

If the AI is uncertain about which job a receipt belongs to, it asks: "Was this for the Henderson kitchen, the Smith deck, or something else?" One reply, the receipt is filed.

  • Photo input lives inside the existing Grain AI chat, same UX as voice and text.
  • Auto-extracted: vendor name, total, line items (when legible), tax, date.
  • AI proposes a job match based on recent activity; you confirm or correct.
  • Receipt image is stored alongside the structured record, for audit, for warranty, for the customer.
  • Feeds the per-job P&L immediately.

What you get from a scanned receipt

Every receipt becomes a queryable record, not a curling photo in the truck console. Search receipts by vendor, by job, by date range, by amount. Export them at year-end for the accountant or the IRS.

Because the receipt is linked to a job, the cost flows into that job's P&L the same minute the receipt is logged. You see margin in real time, not at month-end when you're piecing together photos.

  • Searchable by vendor, job, date range, or amount.
  • Original photo retained for audit + warranty proof.
  • Auto-categorized expense type (materials, fuel, tools, subcontractor cost).
  • Roll-up reports for tax season.
  • P&L impact is real-time, no end-of-month reconciliation.

What it saves you

Photo input runs on the smarter model, so the extraction holds up on a crumpled gas-station receipt shot in a truck cab. That is the heaviest cost-per-message in the system, and it is included rather than metered: unlimited photo input, unlimited chat turns, no per-scan charge.

The math: a single trade business that scans 30 receipts a month at 5 minutes saved each is recouping $29/month many times over before the year ends. Your first 30 days are free, so you can run that math on your own receipts before you pay anything.
